Pointing Polycom Phones to Gphone FTP server

Once your provisioning account manager has setup your configuration file based on the user name, extension and MAC address of your phone, you can point your phone to the GlobalPhone FTP (File Transfer Protocol) server. Your phone will download new file with credentials that will allow it to work on the GlobalPhone network. Make sure your phone has an IP address and access to the internet.

Program your phone as follows:

1. Reboot the phone
2. Press setup and enter password “456”
3. Scroll down to Server Menu and select it
4. Edit server type and use right arrow key to change value to “FTP“
5. Press ok and then select Server type
6. Hit edit and press 1/A/a key to get the number mode
7. Type in 65.116.18.210 (Use * key to get period character)
8. Press Ok
9. Exit one time and select SNTP server and edit
10. Press 1/A/a key to get the number mode
11. Type in 192.43.244.18 (Use * for periods) and hit ok
12. Select GMT offset (Greenwich Mean Time) and hit edit
13. Use right arrow key to select the Offset in your time zone
Eastern : -5
Central : -6
Mountain : -7
Pacific : -8
14. Press OK
15. Scroll down to DNS Server and type time.nist.gov or 216.171.124.36 (use * for periods)
16. Press OK and scroll down to DNS Alt server
17. Enter 204.11.119.21 (use * for periods) and press ok
18. Then Exit out and save the configuration when prompted.
19. Select Save and reboot option to reboot the phone
20. Once phone is rebooted you will see your extension on the phone and the little telephone icons next to them should be dark.

Plug and Dial Instructions

  1. Connect the phone to the network
  2. Phone will reboot and will show 0000 as ext on the screen
  3. Phone will ring and If you don’t get the ring back then pick up the handset and dial 7#
  4. It will Prompt for Phone number, enter the number that is provided to you followed by # sign
  5. then it will ask for password, enter the password as provided to you followed by # sign
  6. If the information is correct then phone will announce that it is configured successfully
  7. You can hang up and phone will reboot automatically.
  8. If phone does not reboot automatically please reboot it manually
  9. Once the phone gets rebooted it will have correct ext on screen and you should be able to make and receive calls.

WAV file formats for Auto-Attendant and Music-on-Hold

GlobalPhone’s Broadsoft PBX allows you to upload your own recordings for Music-on-Hold, Auto-Attendants, and Voice mailbox messages. You must first create or convert the file to the acceptable format. Then log into the Broadsoft switch and select WAV file upload in the service that you wish to alter. If your file is not in the correct format, it will not upload. Note: Auto-Attendant and Voicmail messages may also be recorded directly from your telephone or by remotely dialing into the auto-attendant and accessing the service

WAV file format:
· CCITT, u-law, or a-law codec
· 8.000 kHz
· 8 bit mono
· .WAV file type
Audio Length Restrictions:
· The maximum audio length is 2 minutes for a Voice Mail Greeting and Custom Ringback Tones
· The maximum audio length is 10 seconds for user’s Voice Mail Portal Personalized Name.
· The maximum audio length is 10 minutes for the Music On Hold greeting.
· For all other services, including auto-attendant, the maximum audio length is 5 minutes.

Using Windows Sound Recorder to Record and Convert files:
1. In Windows, select Start>All Programs>Accessories>Entertainment>Sound Recorder.
2. Open an existing file or click Record on the Sound Recorder. Speaking clearly into your PC microphone, record your message. When you have finished, click Stop. To listen to your message, click Play. If you are not pleased with your message, record it again.
3. Make the setting selections. Click Properties from the File menu. The properties for Sound window appears.
4. Click Convert Now and then click OK. The Sound Selection window appears.
5. Select CCITT u-Law from the Format list.
6. Select 8.000 kHz, 8 bit Mono, under Attributes, and click OK. You may want to save this format at this point, so that you can easily select it in the future.In the Properties for Sound dialog box, click OK.
7. When you are satisfied with your message, select Save As from the File menu. Name your sound file, being certain that you remember its location and that the file type is a .WAV file.
8. In the File name field, enter the desired name of your recording.
9. Click OK. To exit without saving, click Cancel.

NOTE: Conversion of high fidelity files using Windows Sound Recorder may result in some distortion. More sophisticated programs such as SoundForge are available for free download on the internet. Please note the required format for your greetings below and follow the instructions for your specific sound recording product.

Pointing Cisco 79XX Phones to FTP Server

Once your provisioning account manager has setup your configuration file based on the user name, extension and MAC address of your phone, you can point your phone to the GlobalPhone FTP (File Transfer Protocol) server. Your phone will download new file with credentials that will allow it to work on the GlobalPhone network. Make sure your phone has an IP address and access to the internet.

Step 1 – Change Phone to use SIP protocol

First, your phone needs to be changed to SIP from MGCP. If they are already on SIP then you can go to Step 2.

1. Press the settings key (One with check box just below directory key)
2. Select Network configurations
3. Scroll down to alternate TFTP and press **# to unlock the config
4. Select yes and save
5. Scroll up to TFTP server and add TFTP as 65.116.18.210
6. Save settings and this will reboot the phone

Now phone gets the SIP load and reboots itself.

Step 2 – Download the configuration

1. Press settings key
2. scroll down to unlock config and select it
3. Enter password cisco and select (press #2 key 3 times to get letter c)
4. Then select network configuration and scroll down to TFTP server
5. If Edit option is not available then scroll down to alternate TFTP and make it yes
6. Scroll up and add TFTP server as 65.116.18.210 and save settings
7. Phone will reboot and get the config files
8. You will see 2 or more line appearances on the phone and you can test calls

How can I reset my Polycom phone to factory settings?

Keep in mind that the below actions are irreversible, once you perform a reset, this cannot be undone.
The Polycom IP phone has three different types of reset.

Reset Local Config – resets the following:
Configuration Files
Config Overrides
The Local Config comprises settings manually entered via the phone’s web interface. These settings override provisioned(downloaded) settings. If you find that your provisioned phone is not implementing all of the settings expected then this reset should clear that up.

Reset Device Settings – resets the following:
All IP Parameters
FTP User Name and PW
Custom SSL Certificates
User and Admin Passwords

Format File System – resets the following:
bootROM
Application

Steps to Reset Local Config
Step 1: Press the ‘Menu’ key.
Step 2: Select ‘Settings’.
Step 3: Select ‘Advanced’.
Step 4: Enter in your admin password to the phone (456). Hit the Enter soft key.
Step 5: Select ‘Admin Settings’.
Step 6: Select ‘Reset to Default’.
Step 7: Select ‘Reset Local Config’.

Steps to Reset Device Settings

For IP 30x: Hold down the 4, 6, 8 and * keys simultaneously.
For IP 430: Hold down the 1, 3, 5 and 7 keys simultaneously.
For IP 50x: Hold down the 4, 6, 8 and * keys simultaneously.
For IP 60x: Hold down the 4, 6, 8 and * keys simultaneously.

NOTE: This method will require the Administrator Password(456)

3. Format File System – resets the following:

· bootROM
· Application

Steps toFormat File System
Step 1: Press the ‘Menu’ hard key.
Step 2: Select ‘Settings’.
Step 3: Select ‘Advanced’.
Step 4: Enter in your admin password to the phone (456). Hit the Enter soft key.
Step 5: Select ‘Admin Settings’.
Step 6: Select ‘Reset to Default’.
Step 7: Select ‘Format File System’

Setting DNS on Polycom Phones

  1. Select Menu key
  2. Select Settings
  3. Select Advanced
  4. Enter password “ 456 “ and hit enter
  5. Select Admin Settings
  6. Select Network config
  7. Scroll down to DNS server
  8. Select Edit and type 204.11.117.21 (* for .)
  9. Press Ok and select DNS atl. Server
  10. Select edit and type 204.11.119.21
  11. Select Ok, Exit and save config
